What Information Do I Need to Source a Transformer?

You do not need a complete engineering package to begin sourcing a transformer.

Send what you know. Project and logistics basics — company and contact, when you need it, where it ships, quantity if known, and what condition is acceptable — let a sourcing conversation start. Add core electrical ratings if you have them: transformer type (or say you are not sure), kVA or MVA, primary and secondary voltages, and phase. If ratings are incomplete, a readable nameplate photo, equipment photos, one-line diagram, outline drawing, old quote, or specification sheet can often fill the gaps. Incomplete information is normal and acceptable.

What to Send

Project and logistics

  • Company and contact information
  • When the transformer is needed
  • Delivery location
  • Quantity, if known
  • Condition that is acceptable — for example new surplus / unused, remanufactured, used, or any condition that fits
  • Notes that affect the search — outage windows, crane limits, pad size, adjacent gear, or a hard ship-by date

Timing, location, quantity, and condition shape how the search is run. If schedule is the binding constraint, say so explicitly. Partial technical information plus a hard date is often more actionable than a perfect spec with no timing.

Core electrical identity — if known

  • Transformer type, or say you are not sure
  • Rated capacity (kVA or MVA)
  • Primary / high-side voltage
  • Secondary / low-side voltage
  • Phase (single-phase or three-phase)
  • Frequency, if it is not the usual 60 Hz assumption for the project

Documents and photos

If the ratings above are incomplete or unknown, upload what you have:

  • Full nameplate photo
  • Equipment photos (overall unit, bushings or cable compartments, accessories)
  • One-line diagram
  • Outline or shop drawing
  • Old quote or prior specification sheet
  • Existing manufacturer / model / serial information, if available

A readable nameplate or drawing may provide enough information to begin a useful sourcing conversation, depending on the requirement. Do not guess missing values — send the photo or drawing instead.

Buyers often start with a photo and a needed-by date, a one-line with voltages but no impedance, an old quote with capacity and voltages but no footprint, a partial nameplate, or a project description without a typed specification. Those partial packages are often enough to begin a useful conversation. Additional detail can be filled in as the search progresses.

How Nameplates, Photos, and Documents Help

You do not need every document. More complete packages make matching faster and reduce false starts later.

Replacement vs Greenfield Sourcing

Replacing or matching existing equipment

Prioritize:

  1. Nameplate and photos of the existing transformer
  2. Capacity and both voltages
  3. Impedance, BIL, connection diagram, and taps when readable
  4. Footprint / pad / adjacent-gear constraints
  5. Existing manufacturer, model, and serial if available
  6. Must-match preferences (fluid, winding material, tap-changer type, bushing interface)

The goal is usually electrical fit plus physical and interface fit — not merely finding “something close in kVA.” For replacements, existing manufacturer, model, serial, and footprint limits are often as useful as the electrical ratings.

Greenfield or general sourcing

Prioritize:

  1. Application and transformer type (or best estimate)
  2. Capacity and both voltages
  3. Phase and needed-by date
  4. Delivery location and acceptable condition
  5. Any known preferences (pad feed/front, dry-type construction, indoor/outdoor, manufacturer)

Greenfield searches can often start broader. Replacement searches usually need tighter matching earlier.

Technical Details When Known

Technical ratings help when you have them, but buyers do not need every field completed before sourcing can begin.

First-search identifiers

  • kVA or MVA, both voltages, phase
  • Frequency when it is not the usual 60 Hz assumption
  • Condition preference and any hard “must match” constraint (for example copper windings only, specific fluid, or a required tap-changer type)

Important for many replacements and tighter matches

  • Percent impedance, BIL, winding connection or connection diagram
  • Tap arrangement and range
  • Cooling class (for example ONAN / ONAF, or older OA / FA labeling)
  • Winding conductor material when the project specifies copper or aluminum

Impedance, BIL, and connection details often matter more for replacement work than for an early greenfield search. GridGear can often begin without them if they are unknown.

Later diligence — helpful, not start-of-search

  • Exact tap / LTC details, dimensions and weights
  • Throat / flange and adjacent-gear interface details
  • PCB / fluid documentation history where relevant
  • Test reports, oil tests, inspection packages, sound, losses, and accessories

These items strengthen evaluation as options appear. They are not required to open an RFQ.

Type-specific information can help

When known for the type you are sourcing, details such as padmount radial vs loop feed and dead-front vs live-front; substation cooling class and DETC vs LTC; unit-substation close-coupling and throat/flange interfaces; dry-type construction and enclosure; or pole-mounted conventional vs CSP design can improve match quality. Mobile or trailer-mounted units are best described by their electrical ratings as substation / power transformers on a transportable platform, plus the mobility requirement.
